SENGS, a subsea service company needed to update and implement backup systems

The Problem

  • Server storage need to be expanded. Proper backup need to be implemented and a disaster recovery solution need to be implemented.

SengS is a subsea services company based in Aberdeenshire. The company was recognised as a leader in its industry. Founded in 2012 the company grew from 1 person to nearly 20 employees in 2016. As such the company’s IT estate has grown too.

In early 2017, TechForce received a call to look at the company’s server storage as there was a growing concern of running out of space. There was also a concern if the backups were being done effectively and the disaster recovery in place. One of our TechForce engineer's inspected the server and came to a conclusion that the storage on the physical server need to be expanded. Backups were taking more than 20 hours a day. The server that was used is Small Business server from 2011.


What we did


Once the issue was identified, The TechForce defined the scope for the project and communicated to the management team. The resolution was to Virtualize the server with the help of a Hypervisor, expand the storage, and implement a backup & disaster recovery strategy.

Firstly, TechForce procured the hardware and software components required for the job. Then we moved onto the implementation phase where we brought an additional VMware ESXi host. We then converted the Physical to Virtual server, made sure the server is working fine, expanded the storage on the old server, Configured RAID 10, installed Hypervisor, moved back the server VM, allocated the relevant resources and started the server. The server was working normally as before. No one noticed any difference apart from the increased space on file shares.


Once the server is working normally we then moved on to configuring the backup. First we purchased the Veeam backup software, NAS storage device, a portable USB drive. Then we Installed the Veeam, configured the full server backup to go to NAS device then a copy of the backup to go on a USB drive. 6 months worth of backup copies are kept on both locations. The backups were scheduled to run every night and the notification alerts were configured. This procedure will ensure that the company has an onsite backup copy and one off-site backup copy of the full server. In case of a disaster we can recover the customer data/server in a matter of a couple of hours. That’s disaster recovery covered.


We have also extended the server warranty with an aftermarket warranty provider to cover it for 3 years. This was the fraction of the cost to the manufacturer’s warranty.

Results

Now the company has a robust, secure and reliable backup strategy in place with multiple copies of backup. The backups are automated and notification alerts are now being received by the admins. A complete peace of mind for the business.

The natural progression to the next level would be to move the offsite backups to the cloud. It makes the process even more efficient and eliminates the human error element from the process.
